Moving Out?

In order to better provide a quick and low-contact check-out process, Housing has implemented Express Check Out. All residents must follow the Express Check-Out Procedure in order to properly check out. Failure to do so may result in improper check-out fees.

Express Check Out Procedure

All residents must be moved out by the move out deadline unless they've requested and been approved for late check-out. Requests for late check-out can be submitted on the Forms & Policies page of the Housing website.

Spring/End of the Academic Year Move Out Deadline: Saturday, May 28, 2022 by 12 p.m.

Step One: Clean Your Unit

Clean and remove all personal items and trash from your bedroom and common areas. This will help you avoid cleaning and damage charges upon move out. If you brought a bike to campus, make sure you take that with you, too! Any leftover bikes not tagged for summer residents will be removed and donated.

Step Two: Express Check Out

Pick up and complete the Express Check Out Packet, available at the resident mailboxes or at the Front Desk. Return this packet with your mail key and room card key – NOT your Warrior ID card – to the Housing Office or drop it in the Express Check Out box near the mailboxes.

Step Three: Mail Forwarding

Once you have completed steps one and two, you must fill out the online Mail Forwarding Form. This form collects your mail forwarding information and supplies a checklist to review before you vacate your unit. You must fill out this form for your check out to be considered complete.

Upon completion of this form, you will receive a check out confirmation.

If you plan on moving out entirely and not returning to on-campus housing for the spring semester, you should have already submitted a Petition to Cancel form and must follow the Express Check Out procedure. You may pick up an Express Check Out packet in the Housing Office.

Make sure to plan ahead and give yourself enough time to thoroughly clean your bedroom prior to moving out. Doing so will help you avoid general damages or cleaning charges and receive your full security deposit back.

  • Vacuum bedroom carpet
  • Wipe down surfaces
  • Empty trash bins*
  • Remove all of your personal items from the bedroom
  • Double check drawers, cabinets, and shelves so you do not leave anything behind
  • Close your window blinds and lock window – notify Housing Office immediately if your window is missing a screen
  • Turn off bedroom light
  • Lock bedroom door upon exit
  • Command strips can be left on the walls so that the Maintenance team can take them off properly

*Housing staff will complete room checks following Move Out Day. A fee of $25 per bag will be charged if staff removes garbage left in a bedroom.

Although normal wear and tear is expected, your room should be in the same state of repair and cleanliness as when you moved in. Mops, vacuums, cleaning kits, brooms, wheelbarrows, and dollies are available to borrow from the Front Desk during office hours.

There will be additional fees if you do not turn in your mail key and/or room key, if you do not submit a Petition to Cancel, or if you do not follow the Express Check Out Procedure.

Cleaning and damage notices will be sent to your Stan State email account.

If you have roommates, discuss when everyone is moving out and who will handle certain responsibilities – remember, all common area damage or cleaning fees are split equally between roommates.

  • Wipe down surfaces, appliances (including the inside of microwaves and refrigerators) and sinks
  • Move furniture to the appropriate room or location, if rearranged
  • Empty recycling and trash bins in bedrooms and common areas*
  • Remove all of your personal items from the bedroom and common areas
  • Double check drawers, cabinets, closets, and shelves so you do not leave anything behind
  • Close window blinds and lock windows – notify Housing Office immediately if a window is missing a screen
  • Turn off all lights
  • Lock all doors upon exit
  • Command strips can be left on the walls so that the Maintenance team can take them off properly

If you are in Village I, leave your thermostat set to low heat. If you are in Village III, set your thermostat to 78 degrees. Village II residents do not need to set a temperature before leaving.

Only first-class mail will be forwarded. The Housing Office will not forward junk mail, advertisements, magazines, etc. 

Packages will not be forwarded. Residents are responsible for contacting the sellers to re-route their packages or canceling their delivery. If a package arrives following the week of your move out, you can stop by the Housing Office during regular business hours to pick it up; otherwise, packages will be returned to sender.

Summer residents will receive an email confirmation containing details about exchanging their spring housing keys and moving to their summer room assignment.

  • Due to summer conference stays and the return of in-person New Student Orientation, summer residents will need to move sometime between June 2 and June 13.
  • It is not guaranteed that room assignments for the summer will be the same as room assignments for the fall.

The deadline to apply for summer housing is May 18, 2022.
