This page is intended to provide a high-level summary of forthcoming changes with CHRS and which employees those changes impact. The information is displayed in two ways - Changes by Module and Changes by Employee Type. As new information is learned about the system we will update this page.

Changes by Module

  • Employee self-service and Manager self-service pages have a different look and feel but the processes are similar to current.
  • No Leave Taken (NLT) will be entered and approved on its own pages instead of being part of absence, as it is now.
  • Employees can enter absences up to 12 months in advance and 12 months prior.
  • Forecasting will be implemented for absences to assist employees with determining whether or not they will have an available balance to take leave prior to submitting their request.
  • Comments for certain absence types are not required by the system as they are now; however, Stanislaus State will still require comments for these types of absences (e.g. sick leave for family)
  • The absence process will run twice daily and the monthly calendar will be closed on the 5th working day of the month, which means updated balances will be posted sooner.
  • Employees will receive an email communication anytime an absence or NLT is submitted on their behalf, approved, and denied.
  • Managers will receive an email communication anytime an absence or NLT is submitted.

  • Self-service pages have a different look and feel that improves the end user experience and makes navigation in the system easier. Employees will still be able to view their benefits online.
  • Stanislaus State's benefits specialist will experience minor changes to processing, including having the Chancellor's Office taking more control over various processes.
  • Employees will be able to print dependent verification forms (APCR, DPCR, Dependent Re-verification Affidavit) from the Dependent and Beneficiary Coverage Summary page.
  • Stanislaus State's Benefits Administrator will have an Administrative Page that will provide multiple pages (i.e. processing pages, reports, etc.) in one location.

  • All reports have been evaluated and determined if they need to be rebuilt in Stan Reporting Services, CHRS Reporting, or using query.
  • The Query tool will still exist in CHRS and there will be some delivered reports, but most reporting will occur either in Stan Reporting Services or CHRS Reporting, the new CHRS reporting solution built with the Amazon's QuickSight tool.
  • Both Stan Reporting Services and CHRS Reporting will require users to complete the Security Access Form, if they do not already have access to the systems.
  • CHRS Reporting will house reports that do not require real-time data, such as the Library Report without Personal Data and the Employees by Class Code report.
  • Stan Reporting Services, otherwise known as Stanalytics Reporting, will house reports that are unable to be created in CHRS Reporting, such as the Time Status report. If you have access to create private queries now, your access will remain the same.
  • No one on campus will have the ability to create or edit public queries but we can request that the Chancellor's Office create or edit them for us.

  • This new functionality is expected to help streamline the appointment/reappointment of temporary academic employees including lecturers, TAs, GAs, and ISAs, as well as summer, extension and additional employment appointments.
  • The Temporary Academic Employment module will replace paper hiring/rehiring request forms for lecturers, TAs, GAs, and ISAs, as well as summer, extension and additional employment appointments.
  • Built-in workflow and approvals will help the flow of data from one approval level to another and should reduce data entry as well as the time to finalize appointments/reappointments.

  • Everyone will receive a timesheet regardless if they require one.
  • The timesheet view defaults to the current week and cannot be changed (currently it defaults to the current pay period).
  • The timesheet title will have the Job Title, Employee Record Number, Department, and Supervisor’s name, making it easier for those with multiple positions to enter time on the correct timesheet.
  • Both the earn and the take of the following absence types will be entered and approved on the Timesheet by Payroll instead of how they do it now: Compensatory Time Off (CTO), Additional Day Off (ADO) and Holiday Credit/Holiday Credit CTO. Employees and Managers will continue using the current paper/electronic form process until a later time.
  • Managers/Timekeepers will have access to a WorkStudy Balance report that provides details regarding the work study award for their employees.

Job Data Changes

  • Human Resources will be able to process transactions (e.g. Rehire) in bulk for E99 Student Employee rather than processing transactions individually

Position Control

  • Position and Job will be kept in sync for the majority of positions.
  • Update Incumbents will be utilized to process mass position updates in regards to supervisor changes.
  • The Position Numbers will be reassigned a new number at time of conversion.

Person of Interest (POI)

  • The process for employees submitting POI request will remain the same.
  • Human Resources and Faculty will no longer have to enter an inactive row as the status will change automatically once the expected end date passes.
  • The POI will not be secured by campus. If the individual has the same POI type (e.g. Search Committee) with multiple campuses all the information for all instances of their POI can be seen and updated by anyone with appropriate access to the POI page.

Self-Service

  • Self-service pages have a different look and feel but employees will still be able to update their home and mailing address, emergency contact, phone numbers, disability status, ethnicity, and COVID vaccine information.
  • Employees will also be able to update their preferred name and gender themselves rather than emailing a request to Human Resources or Faculty Affairs.
  • Employees will also be able to enter and update their Warrant Designee in Self-Service rather than submitting a form to Human Resources or Faculty Affairs.
  • Business email addresses will be stored in a new location in CHRS, rather than on the employees’ profile. This is to ensure that important notifications still go to the correct business email.
  • Student Employees will have to change their information in both CHRS and MyStanState Student Center as the information will not synch as it does today. Employees that work at multiple campuses will have one Self-Service in CHRS. This means that they will no longer have to update multiple locations when they have a change to their personnel information.  

Compliance

  • Outside Disclosure Form will no longer be tracked within the System.

  • The Temporary Academic Employment module will replace paper hiring/rehiring request forms for lecturers, TAs, GAs, and ISAs, as well as summer, extension and additional employment appointments.
  • Built-in workflow and approvals will help the flow of data from one approval level to another and should reduce data entry as well as the time to finalize appointments/reappointments
  • Faculty Affairs will be responsible for the final approval of the appointments, reducing duplicate work, streamlining the sharing of information and allowing time for more focus to ensure the accuracy of appointments.

Payroll

  • Absence Management
    • Employees can enter absences up to 12 months in advance and 12 months prior.
    • Forecasting will be implemented for absences, allowing employees to have a better idea of what their balance will look like in the future.
    • Comments for certain absence types are not required by the system as they are now; however, Stanislaus will still require comments for these types of absences (e.g. sick leave for family)
    • The absence process will run twice daily and the monthly calendar will be closed on the 5th working day of the month, which means updated balances will be posted sooner.
    • Payroll Admins will have the ability to track employees' Non-Working Periods at both the individual and group level.
    • Payroll Admins will have the ability to Delegate Authority to another Manager when requested.
  • Time & Labor

Self-service

  • Human Resources and Faculty Affairs staff will receive less request to update employees preferred name, gender, and Warrant Designee now that Self-Service will have that capability.
  • Human Resources and Faculty Affairs staff will have to refer to the A-Z Directory or Outlook Directory to find an employee’s Business email addresses since it will no longer be stored in the Employees Profile. The Business email address will be stored in the persons security profile so that it cannot be overridden by other campuses.
  • Employees that work at multiple campuses will have one Self-Service in CHRS. This means that they will no longer have to update multiple locations when they have a change to their personnel information. To capture these changes both Human Resources and Faculty Affairs will have audits.
