Financial Aid Rights, Responsibilities, and Award Conditions

Receiving financial aid is an important step in reaching your educational goals. We're here to support you every step of the way!
Please review the information below carefully. By accepting your financial aid or scholarship award, you agree to the following terms and responsibilities.
Enrollment and Academic Requirements
Undergraduate, Credential, Second Bachelor's, and Post-Baccalaureate Unclassified (PBU) Students
- Full-time enrollment: 12 or more units per semester (At least 24 units per academic year)
- Minimum GPA: 2.0 cumulative GPA
Master's (MA/MS) and Doctoral Students
- Full time enrollment: 8 or more units per semester (at least16 units per academic year)
- Minimum GPA: 3.0 cumulative GPA
Students enrolled at three-quarter time, half-time, or less than half-time will have these requirements adjusted proportionally based on their enrollment level.
Important Financial Aid Information
Please review the following carefully:
- Withdrawing from Stanislaus State: If you withdraw, you may be required to repay a portion of your financial aid.
- Changes to Your FAFSA or Dream Act Application: If your financial information changes or corrections re made, your financial aid award may be updated at any time during the academic year.
- Refunds After Withdrawal: If your tuition or housing was paid with financial aid and you withdraw, any eligible refund will be returned to the financial aid programs — not directly to you.
- Unofficial Withdrawal (Stopping Attendance): If you stop attending classes and do not officially withdraw, your aid may be adjusted and you could be required to repay part or all of your financial aid.
Terms of Your Financial Aid Award
You have the right to:
- Know what financial aid programs are available to you.
- Know the deadlines for submitting applications and required documents.
- Understand how your eligibility and award amounts are determined.
- Know when and how your financial aid will be disbursed.
- Understand which awards must be repaid and the repayment terms.
- Request a review (appeal) of your financial aid award or related decision.
- Receive an explanation if your financial aid is reduced , cancelled, or withdrawn.
Your Responsibilities
As a financial aid recipient at Stanislaus State, you are responsible for:
- Completing all applications and submitting required documents accurately and on time each year.
- Reading and keeping copies of all financial aid forms and communications.
- Reporting any additional financial assistance you receive (such as VA benefits, Vocational Rehabilitation, employer tuition assistance, scholarships, or aid from another college).
- Paying remaining tuition, fees, or housing charges if your financial aid is reduced, canceled, or does not cover your full balance.
- Officially declining your financial aid and withdrawing from classes if you decide not to attend Stanislaus State.
- Completing Entrance and Exit Loan Counseling if you borrow Federal Direct Loans.
- Notifying your loan servicer if you change your address, leave school, or change your enrollment status while receiving federal student loans.

When you accept your financial aid at Stanislaus State, you are agreeing to the following:
Confirming Your Decision
By accepting your award, you:
- Accept or decline financial aid funds offered to you.
- Confirm that you have read, understand, and agree to the terms and conditions of your award.
Using Funds for Educational Expenses
You agree to use your federal, state, and university financial aid only for educational expenses related to attending Stanislaus Sate (such as tuition, fees, housing, books and supplies).
If you receive funds that re not used for educational expenses, you may be required to repay them. Repayment amounts are determined by federal regulations.
Confirming Your Federal Aid Eligibility
By accepting your award, you can confirm that:
- You do not owe a refund on a Federal Pell Grant or SEOG.
- You are not in default on any federal student loan (such as Federal Direct Subsidized, Unsubsidized or PLUS Loans) at Stanislaus Sate or any other school.
- You have not borrowed more than the federal loan limits allowed under Title IV programs.
Understanding Award Conditions
- Your award depends on final approval and funding from federal and state agencies.
- Your financial aid is valid only while you are enrolled at Stanislaus State during the awarded terms(s).
- If you are enrolled at two colleges at the same time, you generally may only receive financial aid from only one institution unless you have an approved Concurrent Enrollment Agreement on file. You must notify the Stanislaus State Financial Aid & Scholarship Office immediately.
Authorizing Payment of University Charges
By accepting your award, you authorize Stanislaus State to apply your financial aid to:
- Tuition and mandatory fees
- Housing and meal plan charges (if applicable)
- Any outstanding university debt
- Cal Grant B Access funds (if applicable) toward university debt
If you do not want your Cal Grant B Access funds applied to university debt, you must submit a written request to the Financial Aid & Scholarship Office before funds are disbursed.
Meeting Enrollment Requirements
Most financial aid programs require you to be enrolled:
- At least half-time:
- 6 units (undergraduate)
- 4 units (graduate)
- Full-time (for certain grants and scholarships):
- 12 units (undergraduate)
- 8 units (graduate)
Your financial aid may be reduced or canceled if you do not meet these enrollment requirements.
Understanding Overawards
If you receive more financial aid than you are eligible for (an overaward):
- You are responsible for repaying the excess funds.
- The repayment may be treated as a loan.
- Federal student aid debts generally cannot de discharged through bankruptcy.
If you need to drop all your classes or leave Stanislaus State after enrolling in a term, you must complete the university's official withdrawal process.
If you do not officially withdraw:
- You may still be responsible for paying tuition and fees.
- You may receive failing grades in your classes.
- You may be required to apply for readmission before you can enroll in a future term.
To avoid academic and financial consequences, make sure you submit your withdrawal request through the proper university process.
Financial Aid & Withdrawing
If you receive financial aid (federal, state, grants, or loans), you should contact the Stanislaus State Financial Aid Office before withdrawing. Withdrawing may affect your aid, and you might be required to repay a portion of the funds you received.
If you withdraw before the end of the payment period and received federal or state financial aid, the Financial Aid Office is required to complete a Return of Title IV (R2T4) calculation. This determines how much aid you earned based on how long you attended.
Here's what that means:
- You being earning federal aid on your first day of attendance.
- If you withdraw before the census date, your aid will be adjusted based on the number of days you attended.
- If you withdraw before the first day of classes, all federal and state financial aid will be canceled and returned, No R2T4 calculations is required in this case.
Because withdrawing can impact both your academic record and your finances, we strongly encourage you to speak with the Financial Aid Office before making your decision.
