Housing Conference Desk Services

Front desk summer hours:
7:30 am – 10:00 pm        Monday-Friday
10:00 am – 10:00 pm      Saturday – Sunday

There are 24-hour emergency services available 24 hours a day by calling 209-667-3675.  We have a professional staff member on call at all times. During an emergency, our University Police Department is on campus for assistance as well.

Our desk service can assist with group check-in & check-out, room lockouts, equipment check-out, lost keys, requests for additional tissue or garbage bags, lost and found items and general direction to campus locations. Our desk services also have a record of all group reservations and schedules to assist with group lead and/or participant questions regarding locations and times of group events.


Group check-in is at 11:00 am.  Your individual check-in appointment will be made with the Housing Conference Coordinator (HCC) and may be adjusted based on the needs of the group. 

During your check-in appointment, the HCC will provide the following to the group lead.

  • logistic information regarding additional facility reservations made
  • keys for the entire participant list along with a key inventory
  • parking permits if requested
  • copy of final contract

The HCC is your point of contact for your reservation, changes and/or adjustments regarding your groups stay.  Please contact the HCC at 209-667-3675 during the hours of 7:30 am – 4:00 pm Monday – Friday if adjustments are needed during your stay.


Group check-out is by 11:00 am.  The group lead will return all keys in the key packets provided at check-in to the Housing Office by 11:00 am on the day of check-out.  An inventory of all keys will take place by the HCC.  If your check-out is over the weekend, your keys will be inventoried the following week.


We will provide a courtesy clean of the bathrooms and kitchens for groups staying longer that 30 days.  Please make arrangements with the HCC to arrange and schedule this service.

Linen Service

All of our beds are extra-long twins.  For a fee of $10, we will provide a set of linens that include a sheet set, light blanket, pillow and bath towel.  Linens not left in the room upon departure will incur a charge of $45.  Any camp staying longer than 30 days will be provided with a linen swap service.  Please make arrangements with HCC to arrange and schedule this service.


We have 7 laundry rooms located throughout The Villages.  Our laundry facilities are FREE to use.  Laundry detergent is not provided.


Parking is $6 per day.  Parking permit stations are located as you enter parking lot #7 near The Villages.  Parking is FREE on the weekends.  We also offer parking moratoriums on Lot #7 for $94 per day. Please let the HCC know if you will need parking permits or a moratorium at the time of your reservation.

Day Use Charges

In the event that some of your conference attendees will not be staying in The Villages, a $10 day use fee will be applied to any attendee who will be participating in events or using facilities located in The Villages.  This $10 fee is NOT required for use of campus facilities outside of The Villages.  Contact the HCC for more details.
